Independent Contractor (will receive 1099 at end of year)

Compensation: $12,600

Belleville Main Street (BMS) is currently on the lookout for an enthusiastic, organized, and resourceful Event Coordinator. The successful candidate will be a committed individual with impressive skills to efficiently manage all event aspects from conception to clean up.

 

Currently BMS organizes and executes approximately 14 events/year. These events are:

15th: Lucky Leprechaun 5k
27th: Art Stroll

April
12th: Kids Day
26th Homebrew & Music Walk

May
10th: Art Stroll
30th: Main Street Senior Day

June
28th: Craft Beer Walk

July
24th: Art Stroll

October
17: Main Street Senior Day

November
8th: Art & Wine Walk
29th: Small Business Saturday

December
12/13th: Downtown Cookie Stroll
18: Christmas Stroll

Responsibilities and Duties:

  • Coordinate all event details such as sponsorships, event organization, marketing, catering,
    entertainment, transportation, location, invitee list, special guests, equipment, promotional
    material, volunteers etc.
  • Manage timelines, schedules, and workflows for all events, enforcing key deadlines and ensuring
    efficient use of resources to make sure budgets are met.
  • Serving as the main point of contact for BMS Members, vendors, and Chamber Staff, encouraging
    clear and open communication throughout the event planning and execution process.
  • Handle arising issues promptly and troubleshoot any emerging problems on the event day
  • Negotiating with vendors to achieve the best possible service within budget constraints.
  • Manage event logistics on the day of the event, including on-site registrations, coordinating
    volunteers, directing vendors, and ensuring a smooth flow of activities.
  • Ensure compliance with relevant insurance, legal, health, and safety obligations – verify all
    compliance with Greater Belleville Chamber of Commerce.

Qualifications and Skills:

  • Demonstrated experience as an Event Coordinator
  • Extensive knowledge of event planning logistics, including legal, health, and safety obligations.
  • Strong communication and negotiation skills
  • Exemplary problem-solving skills
  • Knowledge of event planning software
  • Experience with Microsoft O?ice
  • Ability to manage multiple projects independently

Additional Requirements:

  • Attend 2 meetings per month with executive leadership for guidance and coordination.
